About the Role
The Specialist, G&A Facilities plays a key role in managing facility operations and supporting real estate activities with a focus on efficiency, compliance, and continuous improvement. This position requires strong technical expertise, problem-solving skills, and the ability to lead projects and collaborate across functions to deliver high-quality workplace solutions.
What You Will Do
Workspace Projects & Real Estate Management
Lead workspace adjustments and expansion projects, ensuring timelines and budgets are met.
Maintain real estate data and assist with lease administration and landlord coordination.
Budget & Cost Control
Prepare and manage the annual office administration budget.
Monitor costs and implement adjustments to ensure financial efficiency.
Office Operations
Oversee all office admin tasks, including supplies, mail, cleaning, catering, utilities, and IT room maintenance.
Handle procurement and payment for these services.
Procurement & Vendor Management
Manage facility suppliers and procurement channels.
Oversee contracts, purchase requests, invoices, and payments; conduct annual contract reviews and renewals.
Security & Risk Management
Oversee office security and health matters; manage access cards, keys, and office records.
Evaluate risks, implement mitigation procedures, and conduct safety training.
Employee Events & Meetings
Plan and coordinate events and meetings to foster team spirit and engagement.
Other Duties
Perform additional tasks as required to support business needs.
What You Need to Be Successful
Bachelor and above degree in administration, facility management or related discipline, at least 8 years of experience in similar role.
Fluent in English and Chinese.
Strong organization, multi-tasking and time management skills.
Excellent computer skills in Excel, Word, Outlook and PowerPoint.
Good communication skills.
Initiative, collaboration, good team player.

Pay is based on a wide range of factors, including, without limitation, skill set, experience, training, location, and business need.
